Someone arriving after a long road transfer can check in, eat and be at the next morning’s session without another vehicle movement.

Multi-day training also creates needs a simple hall booking does not cover. Your facilitators may want early room access to set up materials, a private space for interviews, printing support, reliable internet, and somewhere participants can talk outside the formal sessions. For longer programmes, ask us to keep the same meeting room assigned to your group throughout. Moving materials between rooms mid-workshop wastes time and creates a document security problem nobody needs.

Corporate Planning Sessions

A corporate residential conference works differently from a public training. The group is often smaller, privacy matters more, and the programme can include strategy sessions, management reviews or confidential financial discussion.

In that case, acoustics and access control deserve attention. Ask us whether another event will be using the same corridor or the adjacent room — we will tell you, and we will move you if we can. A large hall is not automatically better; a smaller private room often supports the discussion far more comfortably.

Keep the event simple: conference room, bedrooms, meals and programme first. Add leisure only after the meeting schedule works on paper.

Room Blocks

Guest room planning is the main difference between a residential conference and an ordinary meeting. You need a delegate room block, not a general assurance that we have rooms.

Ask us to confirm how many singles, twins or doubles we are holding for your group and when the hold expires. If we are busy on your dates, rooms can go while the meeting hall is still free — and we would rather flag that early than surprise you.

Ask your participants about room sharing before you finalise. A twin cuts the number of rooms you need, but sharing does not suit senior staff, people with medical needs or anyone who needs privacy for evening work.

Meals and Tea Breaks

Food is part of your schedule, not a separate hotel activity, and we treat it that way. If tea is late, your next session starts late. If lunch service drags, your afternoon programme shrinks.

Confirm with us the number of tea breaks, the meal times and where food will be served. A buffet moves a large group faster than individual orders; for a smaller executive group, a set menu usually works better.

Send dietary information before arrival. Vegetarian requirements, allergies and religious food needs are far easier for our kitchen to manage with notice than on the morning.

Meeting Equipment

A residential programme uses the equipment repeatedly, so reliability matters. Confirm the projector or display, microphones, sound, extension leads, presentation connections, internet and backup power with us before your first session.

If several facilitators are presenting, test the laptop connections early. Programmes lose a surprising amount of time to each presenter discovering a cable problem in front of the room.

For hybrid participation, ask us for a real internet test inside the meeting room. Wi-Fi working in our lobby does not prove a video call will hold up in a full hall, and we would rather you knew that beforehand.

Seating and Room Setup

The same hall holds very different numbers depending on the setup. Classroom seating suits training, because delegates can write. Theatre fits more people but gives less working space. Boardroom and U-shape support discussion but use more floor area per person.

Tell us what your participants will actually be doing. If the workshop uses group exercises, ask whether we can move tables easily or whether there is breakout space nearby — usually there is.

Leave enough room for the facilitator, the screen and movement. Filling a room to its maximum chair count makes a multi-day event exhausting.

Arrival, Check-In and Registration

A residential event begins before the first presentation. Delegates arrive, register, collect keys and need to know when the first meal or session starts. We will set up one arrival flow rather than sending people to several desks.

For groups travelling from Kampala or distant districts, staggered arrival is normal. Send us a rooming list and tell your participants where to report. If you have organised transport, share the driver contact and expected arrival window with us.

A short welcome note at registration or in the room — programme start time, meal venue, organiser contact — saves everyone a round of phone calls after check-in. We will put it out for you.

Adding a Retreat Element

Keep participation optional if the activity is physical. Your team can still share dinner or another social session without every delegate hiking.

Requesting a Proposal

Send us a complete brief rather than asking only what our conference package costs. We need enough information to price the right product, and a vague question gets a vague answer.

Include the organisation name, the purpose of the event, arrival and departure dates, delegate numbers, bedrooms required, single or shared occupancy, meals, tea breaks, seating layout, equipment and any evening sessions. Tell us if some delegates are attending without accommodation.

Then ask us for the quotation in writing. Check what is included, what is optional and when we need the booking confirmed.

Plan the departure too. Confirm checkout time, luggage storage and the last meal before your delegates arrive. If your final session ends after our normal checkout, we can hold luggage securely in one place while your participants stay in the meeting room — just tell us in advance.

It also helps to separate local delegates from resident ones on the attendance list. Someone joining only for daytime sessions needs meals but no room. A facilitator may arrive a night earlier. A driver may need a room without attending the meeting. Those differences change the rooming list and the catering count, and we would rather have them from you than guess.

Finally, build a small margin into the programme. Multi-day meetings run late because group work always takes longer than planned. Ten minutes before meals or evening sessions stops the whole schedule slipping.
